JOB TITLE: Registrar and Enrollment Coordinator
Position Summary:
The School Registrar and Student Records Coordinator is committed to delivering exceptional service to Grizzlies Prep families through meticulous records management and high-quality front office operations. This role holds primary responsibility for ensuring all student records are received, maintained, and transferred with accuracy and care. The Registrar also leads the daily functions of the front office, creating a welcoming and efficient experience for all who enter the
school. In addition, this role provides critical support to the enrollment process, ensuring smooth onboarding for new families and strong operational systems throughout the school year.

Duties and Responsibilities:
- Develops Student Affairs Department goals and strategy in alignment with SCS Operations Scorecard and Grizzlies Prep School wide goals.
- Manages student recruitment, alumni, and family engagement budgets and ensures funds are effectively used.
- Holds weekly meetings with all supervisees to ensure progress toward department goals and initiatives.
- Assists with the development and implementation of family engagement projects that reinforce the connection between families and Grizzlies Prep.
- Oversees Grizzlies Prep student enrollment process adhering to local, state, and Title I regulations, and executes various events and initiatives, including but not limited to, school visits, student registration, family orientations, and Back to School Night.
- Utilizes Grizzlies Prep systems for behavior management, grade entry, attendance, and other essential data tracking functions.
- Manages both Grizzlies Prep’s and the MSCS’ student information systems
- Builds and maintains positive relationships with parents through various means of communication, including phone calls, emails, texts, and in-person meetings.
- Communicates all student and alumni progress and concerns with tact and professionalism to parents and, as appropriate, other faculty, staff, and/or head of school.
- Enforces safety and security standards for students, staff, and visitors.
- Monitors halls, student transitions, study periods, and lunchrooms with other faculty and staff as needed by adhering to Grizzlies Prep policies.
- Participates in faculty meetings, educational conferences, in-service opportunities, workshops, and other training seminars.
- Manages the Grizzlies Prep Front Office, including answering phones, checking in visitors etc.
- Reports to the Director of Finance and Operations primarily and reports to the Executive Director for Enrollment and Recruitment
- Manages the part time office manager
- Performs other related duties as assigned.
Knowledge, Skills, and Abilities:
- Thorough understanding of local, state, and federal policies, laws, and guidelines related to student records and enrollment, including Title I requirements.
- Ability to set and accomplish meaningful department goals.
- Ability to simultaneously manage multiple projects and timelines.
- Ability to manage and coach supervisees.
- Ability to work within a structured academic setting.
- Strong belief in the importance of working as a team to accomplish school goals.
- Eager to be coached and open to adapting practices to fit the specific needs of Grizzlies Prep students and families.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with an ability to maintain professionalism and tact in high-stress situations.
- Excellent organizational skills and attention to detail.
Education and Experience:
- Bachelor’s degree preferred.
- Must have significant experience with student records including school information systems such as Powerschool SIS.
- Must be physically and mentally able to perform the responsibilities and duties of the position.
Physical Requirements:
- Prolonged periods standing and actively monitoring student behavior while teaching.
- Must be able to lift up to 15 pounds at times.
- Must be able to assist students who have physical impairments.
- Must be able to traverse the classroom and adjust height, by bending or leaning, in order to communicate with each child and teach them when necessary.
- Must be able to facilitate classroom transitions by walking through hallways and up and down stairs with students.
- Prolonged periods sitting and working on the computer.
