REPORTS TO: Director of Operations, The Soulsville Charter School

 

POSITION: Soulsville, full-time regular, exempt

 

POSITION DESCRIPTION: The Charter School Office Assistant has primary responsibility for communication with students and parents and for providing logistical support for the Charter School.

 

MAJOR KEY RESULTS AREAS:

  • Customer service
  • Student and parent communication
  • Database administration
  • Board of Education liaison (especially as related to student management systems)
  • Operational support
  • Finance oversight
  • Student recruitment

 

DUTIES AND RESPONSIBILITIES:

  1. Maintain a welcoming and friendly front office for families and visitors.  Communicate with students and parents as needed during the school day.
  2. Provide administrative and logistical support for the School Directors, Director of Operations, and Executive Director.
  3. Assist with maintaining office systems and equipment.
  4. Oversee Student Recruitment efforts, including enrollment, registration, wait list, lottery, and parent school tours.
  5. Assist with the maintenance of student database records and preparation of needed reports (e.g., PowerSchool, in-house systems, etc.).
  6. Assist with conducting inventory, order, and maintain an adequate supply of departmental office supplies and other purchases.
  7. Responsible for special projects and reports as assigned by administration.
  8. Distribute school wide reports, as needed.
  9. Oversee the sale and distribution of school goods and services to families (e.g., student fees, etc.).  Submit daily deposits to the CFO and/or Accounting Manager (Soulsville Foundation). 
  10. Assist with managing the layout, organization, and appearance of the Main Office.
  11. Other reasonable duties as assigned by TSCS administration.

 

The ideal candidate will have:

 

  1. A Bachelor’s degree or combination of college and related work experience.
  2. Experience working in an office environment, preferably a school setting.
  3. Commitment to The Soulsville Charter School and its values; an understanding of The Soulsville Charter School’s mission and unwavering commitment to fulfill it.
  4. Relentless commitment to high academic achievement and high expectations of all students.
  5. Ability to manage and lead adults.
  6. Demonstrated strong written and verbal communication skills, including excellent customer service in person and on the phone.
  7. Ability to handle and prioritize multiple complex tasks within a deadline and with a high degree of accuracy and attention to detail.
  8. A strong sense of protocol, tact, and diplomacy and ability to work well with a variety of people and personalities and a willingness to take and utilize constructive feedback.
  9. An understanding of non-profit organizations, events, and especially youth development.
  10. Enthusiastic self-motivation, the ability to motivate others, and little need for direct supervision.
  11. An appreciation of music and various musical styles.
  12. Effective communication skills with a wide range of audiences.
  13. A commitment to personal professional growth.
  14. Ability to work flexible hours, including some weekends and holidays.
  15. Ability to stand or sit for long periods of time; ability to life boxes weighing up to 25 lbs; ability to stoop or reach; ability to climb stairs.
  16. Knowledge of computers and software programs (i.e. MS Word, Excel, PowerSchool and others) and aptitude and willingness to learn new software programs through hands-on use and self-study.
  17. Must possess a valid driver’s license and be able to show proof of liability insurance coverage as required by the laws of the State of Tennessee.
  18. Ability to maintain a positive, “can-do” attitude at all times.
  19. High level of personal responsibility and drive toward ambitious goals.
  20. Demonstrated ability to function as a “team player”.
