REPORTS TO: Director of Operations, The Soulsville Charter School
POSITION: Soulsville, full-time regular, exempt
POSITION DESCRIPTION: The Charter School Office Assistant has primary responsibility for communication with students and parents and for providing logistical support for the Charter School.
MAJOR KEY RESULTS AREAS:
- Customer service
- Student and parent communication
- Database administration
- Board of Education liaison (especially as related to student management systems)
- Operational support
- Finance oversight
- Student recruitment
DUTIES AND RESPONSIBILITIES:
- Maintain a welcoming and friendly front office for families and visitors. Communicate with students and parents as needed during the school day.
- Provide administrative and logistical support for the School Directors, Director of Operations, and Executive Director.
- Assist with maintaining office systems and equipment.
- Oversee Student Recruitment efforts, including enrollment, registration, wait list, lottery, and parent school tours.
- Assist with the maintenance of student database records and preparation of needed reports (e.g., PowerSchool, in-house systems, etc.).
- Assist with conducting inventory, order, and maintain an adequate supply of departmental office supplies and other purchases.
- Responsible for special projects and reports as assigned by administration.
- Distribute school wide reports, as needed.
- Oversee the sale and distribution of school goods and services to families (e.g., student fees, etc.). Submit daily deposits to the CFO and/or Accounting Manager (Soulsville Foundation).
- Assist with managing the layout, organization, and appearance of the Main Office.
- Other reasonable duties as assigned by TSCS administration.
The ideal candidate will have:
- A Bachelor’s degree or combination of college and related work experience.
- Experience working in an office environment, preferably a school setting.

- An understanding of non-profit organizations, events, and especially youth development.

- Knowledge of computers and software programs (i.e. MS Word, Excel, PowerSchool and others) and aptitude and willingness to learn new software programs through hands-on use and self-study.
- Must possess a valid driver’s license and be able to show proof of liability insurance coverage as required by the laws of the State of Tennessee.
